This privacy policy describes how Code7 Talent Solutions, a service of VM Technologies LLC (“Code7,” “we,” “us,” or “our”), collects, uses, and shares information when you interact with our website at code7talentsolutions.com or use our AI-assisted candidate intake services.

1. Who We Are

Code7 Talent Solutions is operated by VM Technologies LLC, a limited liability company. Code7 provides AI-assisted candidate intake, screening, and matching services for sales and customer success recruiting.

2. Information We Collect

We collect the following categories of information:

Information you provide directly:

  • Contact information (name, email address, phone number)
  • Professional information (work history, current role, skills, career preferences, compensation expectations)
  • Educational background when you share it during an intake call
  • Any information you choose to share during a conversation with our AI recruiter

Information we collect automatically:

  • Audio recordings of phone calls with our AI recruiter
  • Transcripts generated from those recordings
  • Call metadata (duration, timestamps, call direction, caller phone number)
  • Technical information about your device and browser when you visit our website
  • Usage information including pages viewed and interactions with our services

Information from third parties:

  • If you authorize us to, we may receive information from LinkedIn, professional references, or other sources you identify.

3. How We Collect Information

We collect information when you:

  • Fill out a form on our website
  • Call our published phone number and speak with our AI recruiter
  • Receive a call from our AI recruiter after submitting a form
  • Email us or otherwise communicate with our team
  • Visit our website

Recording of calls: All phone calls between you and our AI recruiter are recorded and transcribed. At the beginning of each call, our AI recruiter will ask for your consent to record. If you decline, the call will end and no recording or transcript will be retained. By continuing the call after the consent request, you consent to recording.

4. How We Use Information

We use information to:

  • Evaluate your fit for sales and customer success roles we are working to fill
  • Match you with potential employer clients based on your stated preferences
  • Share your profile and interview summary with prospective employers, but only with your explicit permission before each introduction
  • Improve our AI recruiter, screening processes, and matching quality
  • Communicate with you about opportunities, scheduling, or the status of your file
  • Operate, maintain, and secure our website and services
  • Comply with legal obligations and enforce our Terms of Service

We do not use your information for advertising or sell your information to advertisers.

5. Service Providers and Third Parties

We rely on the following service providers to operate our services. These providers process your information on our behalf and are contractually required to protect it:

  • Vapi AI, Inc. — provides voice AI orchestration and handles audio recording and real-time call infrastructure
  • OpenAI, L.L.C. — provides large language model services used in our AI recruiter and for post-call transcript analysis
  • Supabase, Inc. — provides the database where we store candidate records, call metadata, and transcripts
  • Vercel, Inc. — provides website hosting and deployment infrastructure
  • Deepgram, Inc. — provides speech-to-text transcription services used as part of our voice AI pipeline
  • ElevenLabs, Inc. — provides text-to-speech synthesis used by our AI recruiter

These providers have their own privacy policies. We select providers that comply with applicable data protection standards.

We do not share your personal information with prospective employer clients, partners, or third parties for their own marketing purposes without your explicit consent.

6. Sharing With Employer Clients

When we identify a potential match between your profile and an employer client's open role, we will contact you before sharing any information with that employer. You will have the opportunity to review the role and consent to (or decline) introduction before your information is shared.

If you consent, we may share:

  • A summary of your professional background
  • Your interview transcript or assessment summary
  • Your contact information

We do not share raw audio recordings of calls with employer clients without separate, specific consent.

7. How Long We Keep Information

We retain information for as long as you remain an active candidate in our system or as long as reasonably necessary for legitimate business purposes.

  • Candidate records and interview transcripts: retained until you request deletion or for up to 24 months after your last contact with us, whichever comes first.
  • Audio recordings: retained for up to 12 months from the date of the call, after which they are deleted unless we have a specific legal obligation to retain them longer.
  • Website technical data: retained for up to 12 months.

You may request earlier deletion at any time (see Section 10).

8. Security

We maintain reasonable administrative, technical, and physical safeguards to protect your information, including encryption of data in transit and at rest through our service providers. However, no method of electronic storage or transmission is perfectly secure. You share information with us at your own discretion.

9. Your Rights

Depending on your location, you may have the following rights with respect to your information:

  • Right to access: You can request a copy of the information we hold about you.
  • Right to correct: You can request correction of inaccurate information.
  • Right to delete: You can request deletion of your information.
  • Right to object or restrict processing: You can request that we limit how we use your information.
  • Right to portability: You can request a copy of your information in a portable format.

To exercise any of these rights, email us at privacy@code7talentsolutions.com. We will respond within 30 days, or sooner if required by law.

California residents have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information is collected, the right to delete personal information, the right to correct inaccurate information, and the right to opt out of the sale or sharing of personal information. We do not sell personal information.

Illinois residents should be aware that voice recordings may constitute biometric information under the Illinois Biometric Information Privacy Act (BIPA). We obtain explicit consent before any recording begins.

European Union residents have rights under the General Data Protection Regulation (GDPR). Our lawful basis for processing is your consent (for recording and AI processing) and legitimate interest (for matching candidates with employer clients).

10. How to Delete Your Information

To request deletion of your information, email privacy@code7talentsolutions.com with the subject line “Delete my information.” Include the phone number and email address you used when interacting with us.

We will delete your candidate record, all call transcripts, and any associated recordings within 30 days of your request, unless we have a specific legal obligation to retain certain information.

11. Cookies and Tracking

Our website uses cookies and similar technologies to improve user experience and understand how the site is used. We do not use cookies for advertising. You can control cookies through your browser settings.

12. Children's Privacy

Code7 does not knowingly collect information from anyone under the age of 18. Our services are intended for adult professionals seeking employment. If we learn we have inadvertently collected information from someone under 18, we will delete it promptly.

13. Changes to This Policy

We may update this policy from time to time. When we do, we will update the “Last Updated” date at the top and, if the changes are material, notify you by email or a prominent notice on our website.

14. Governing Law and Dispute Resolution

This privacy policy is governed by the laws of the State of New York, without regard to conflict of laws principles. Any dispute arising from or relating to this policy shall be resolved exclusively in the state or federal courts located in the Eastern District of New York, and you consent to the personal jurisdiction of those courts.
